Cancellation Policies

Due to high demand and limited court availability, we are implementing a new cancellation policy. This change is intended to ensure accountability and provide all players with a fair opportunity to reserve courts in a timely manner.

Cancellations:

 

Cancellations are only accepted through phone call. We do not accept cancellations via email. If you are not able to connect with someone on the phone, please leave a voicemail or keep trying. 


Cancellations will be accepted up to two hours before reservation begins. Example: If my reservation begins at 1:00pm, I have until 11am that day to cancel. Any cancellations after the two hour window will still be marked as a "No Show", but the court will still be available for another person to book.


No Shows:


"No Shows" are labeled for players who do not show for their reservation without any communication, and those who cancel after the two hours leading up to the reservation.   

 

  • 1st No Show- Written Warning via email

  • 2nd No Show - Patrons must put a card on file, they will not be allowed to register without putting a card on file, or pre paying over the phone (no refunds for cancellations, except for weather).

  • 3rd No Show- Automatic charge to account. 


*Please note that charges will be made based on the reservation type. 

  • 1hr - 1 1/2 hours=singles = $10 charge

  • 2 hours=doubles= $20 Charge

  • 1/2 hour- $5 Charge


Ball Machine No Show:


Since we only have one ball machine, and it is limited to courts 5-8, patrons must put a card on file when reserving a ball machine. 


A No Show without any prior communication will result in an automatic charge for that court. A late cancellation (after the two hours leading up to reservation) will not result in a charge, but will follow the No Show rules above. 


Weather:


Texas weather is unpredictable. If there is any suspicion of rain, please call the pro shop to check on court conditions. If you would like to cancel your court after the two hour window, you can do so without any penalty. If there is bad weather, the pro shop will mark the courts as “Rain Out” and the “no show” policies will not be enforced.


The “No Show” list will accumulate throughout a calendar year. At the start of the new year, the list will reset.
